Sky Schedule is a flight school management platform operated by Baumann Systems, LLC ("Sky Schedule," "we," "us," or "our"). This Privacy Policy describes how we collect, use, store, and protect information when you use our platform at app.skyschedule.io, and explains your rights as a user.

By creating an account or using Sky Schedule, you acknowledge that you have read and agree to this Privacy Policy. If you do not agree, please do not use our services.

2. Our Role: Platform Operator vs. Flight School

Sky Schedule operates as a platform that flight schools use to manage their operations. In this relationship:

Flight schools (owners, administrators, and office staff) determine what information they collect from students, instructors, and other users — including what documents they require, what fields they configure, and how they manage their accounts.
Sky Schedule stores, processes, and displays that information on behalf of the flight school. We do not independently decide what personal data each flight school collects from its users.

Each flight school is responsible for determining what personal information it needs, obtaining appropriate consent from its students and staff, and complying with applicable laws in connection with its use of the platform.

3. Information We Collect

3.1 Account and Identity Information

When a user creates an account or is enrolled through a flight school, we may collect:

Full name
Email address
Phone number
Date of birth (when provided)
Physical address
Profile photo (when uploaded)
Role within the platform (student, instructor, administrator, owner)

Passwords are managed through our authentication provider. We do not store plaintext passwords.

3.2 Aviation and Operational Data

To support flight school operations, we collect and store data related to scheduling, training, and aircraft management, including:

Reservations, flight schedules, and cancellations
Flight records, Hobbs/Tach time, routes, and training progress
Logbook-style entries and completed lesson records
Aircraft information, maintenance records, squawks, and inspection data
Instructor availability and checkout authorizations

3.3 Documents and Uploaded Files

Sky Schedule provides document storage and workflow features that flight schools use to collect files from students, instructors, and staff. The types of documents stored on our platform depend entirely on what each flight school configures. Examples may include, but are not limited to:

Government-issued photo identification
Pilot certificates and licenses
FAA medical certificates
Onboarding forms and school-specific compliance documents
Any other file a school administrator, instructor, or student chooses to upload

Sky Schedule does not determine what documents are collected. The flight school administrator defines those requirements. By uploading a document to the platform, you consent to its storage and access by authorized personnel as described in this policy.

3.4 Payment and Billing Information

All payment processing on Sky Schedule is handled through Stripe, a third-party payment processor. Regarding payment data:

Full card numbers, CVV codes, and sensitive banking credentials are collected and stored exclusively by Stripe. Sky Schedule does not store this information.
Sky Schedule retains limited display data such as the last four digits of a card, card brand, expiration date, and Stripe payment method identifiers, solely for the purpose of displaying billing information within the platform.
Transaction history, invoice records, and payment activity are accessible to Sky Schedule as the platform operator and to the flight school associated with your account.
Charges to payment methods on file are initiated by your flight school through the platform, in accordance with our Terms of Service and the authorization you provide when adding a payment method.
Flight school billing runs through Stripe Connect. Each flight school operates as the merchant of record for charges to its students — Sky Schedule is the platform facilitating those transactions, not the charging party.

3.5 Business Information (Flight School Accounts)

For flight school owners and administrators, we collect business-related information including:

Flight school name and business address
Administrator and staff contact information
Billing and invoicing details for the school's Sky Schedule account

3.6 Communications and Notifications

Sky Schedule sends transactional communications related to your account and your flight school's activity, including invoices, onboarding reminders, card-on-file requests, and account notifications. These are sent via a third-party email delivery provider. We do not use your contact information for marketing without your consent.

3.7 Platform Usage and Technical Data

We may collect technical data to operate, maintain, and improve the platform, including:

Login activity and session data
Actions taken within the platform
Device type and browser information
Error and diagnostic reports to help us identify and fix platform issues

4. How We Use Your Information

We use the information we collect for the following purposes:

To create and manage user accounts
To provide flight school scheduling, management, and operational features
To process payments and maintain billing records
To enable flight school administrators to manage student enrollments, documents, and billing
To send transactional communications related to your account
To identify and resolve platform errors and improve our services
To comply with applicable legal obligations

We do not sell your personal information. We do not share your data with third parties for advertising or marketing purposes.

5. Who Has Access to Your Information

5.1 Sky Schedule (Baumann Systems, LLC)

As the platform operator, Sky Schedule and its authorized personnel have access to user data for purposes of platform administration, technical support, security monitoring, and legal compliance. Access by Sky Schedule staff is limited to what is necessary to operate and maintain the platform.

5.2 Your Flight School

Administrators, office staff, and instructors at your flight school have access to data within their organization's account, including student profiles, uploaded documents, scheduling records, training progress, and billing information. The level of access varies by role as configured within the platform. This access is a core part of how the platform operates.

5.3 Other Users Within Your Organization

Depending on your role and your flight school's configuration, other users within your flight school may have visibility into certain data such as schedules, aircraft availability, or training records. Data from one flight school is not accessible to users of another flight school on the platform.

5.4 Third-Party Service Providers

We work with a limited number of third-party service providers who process data on our behalf as necessary to operate the platform. These providers are contractually obligated to use your data only to provide services to Sky Schedule and do not receive your data for their own purposes.

We do not sell, rent, or otherwise share your personal information with any third party outside of what is described in this policy.

6. Data Security

We implement reasonable technical and organizational safeguards to protect your personal information, including:

Encrypted data transmission (TLS) across the platform
Access controls that limit data access by role and organization
Secure, cloud-based infrastructure with multi-tenant data isolation (your flight school's data is not accessible to other organizations on the platform)
Payment data handled by Stripe, which maintains PCI-DSS compliance

No method of data transmission or storage is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. If a flight school account is closed or a user account is deactivated:

We will retain records as required by applicable law or for legitimate business purposes such as resolving disputes, enforcing agreements, or maintaining financial records.
Flight schools may request an export of their data prior to account closure.
Personal data no longer needed will be securely deleted or anonymized within a reasonable period.

8. Minor Users

Flight training programs may include students who are under 18 years of age. Sky Schedule allows flight schools to collect and store information for minor students as part of their enrollment and training management. In such cases, the flight school is responsible for obtaining appropriate parental or guardian consent in accordance with applicable law.

Sky Schedule does not knowingly collect personal information directly from children under 13 without school or parental involvement. If you believe a minor's information has been submitted without appropriate consent, please contact us.

9. Your Rights

You have the following rights with respect to your personal information:

Access — You may request a copy of the personal information we hold about you.
Correction — You may request correction of inaccurate or incomplete information.
Deletion — You may request deletion of your personal information, subject to legal, regulatory, or contractual limitations.
Opt-Out — You may opt out of non-essential communications at any time.

Note: Because flight school administrators manage data within their accounts, certain requests (such as document deletion) may need to be directed to your flight school first. Sky Schedule will coordinate with the relevant parties as appropriate.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of this document. We encourage you to review this policy periodically. Continued use of Sky Schedule after changes are posted constitutes your acceptance of the updated policy.

For material changes, we will make reasonable efforts to notify affected users through the platform or by email.
