Aircraft Documents
Navigate to Aircrafts → Manage Aircraft to access everything related to a specific aircraft. Inside you'll find four tabs: Requirements, Documents, Flight Logs, and Inspections.
Requirements
This is where you define what's needed from students and instructors before they fly a specific aircraft. Add a requirement and select who it applies to - students, instructors, or both. Once added, the requirement will appear in the relevant person's dashboard, prompting them to upload the necessary item. If a reservation is created and the requirement hasn't been fulfilled, the reservation will be flagged as non-compliant.
Documents
Each aircraft comes preloaded with a standard set of documents:
- Airworthiness Certificate
- Pilot Operating Handbook (POH)
- Radio Station License
- Registration
- Weight and Balance
You can also add any additional documents you need. When adding a document, you'll fill in:
- Title
- Type of document
- Description
- Expiration date
The expiration date is particularly important - it feeds directly into the AI Dispatching feature. When dispatching a flight, the AI will review a wide range of factors including:
- Compliance status and any missing requirements for the reservation
- Aircraft document expiration dates
- Open inspections and squawks
- Any active Airworthiness Directives (ADs) on the aircraft
The AI will surface anything that needs attention before the flight goes out.
Flight Logs
Pull a complete flight log for any given month for that specific aircraft. Useful for record keeping, audits, or just keeping tabs on utilization.
Inspections
Log the full inspection history for the aircraft here. Any current ADs associated with the aircraft will also populate in this tab automatically, keeping everything in one place.
Student & Instructor Documents
Students and instructors manage their own documents from within their individual dashboards. Here's what they'll see:
- Aircraft Requirements - If an aircraft they're associated with has a requirement, they'll be prompted to upload the necessary document directly from their dashboard.
- Personal Document Uploads - They can also upload any document they'd like to keep on file, such as a medical certificate, pilot certificate, or anything else relevant to their profile.
- Onboarding - Their onboarding checklist also lives here. For more detail on how onboarding works, refer to the Onboarding section of the docs.
Viewing Documents as an Admin or Instructor
Once a student or instructor uploads a document, it will appear under Documents & Certifications in their profile. All documents can be:
- Viewed inline
- Downloaded for your records
- Displayed directly from the admin or instructor dashboard
This keeps everyone's paperwork organized, accessible, and easy to verify at a glance.
