People: Instructors & Students
Instructors
The Instructors tab gives you a full view of everyone on your team and the tools to manage them effectively.
Adding an Instructor
Click Add Instructor and enter their full name, email, and phone number. Sky Schedule creates their account right away so you can schedule them and send invoices without waiting for them to accept an invitation.
We still recommend instructors complete setup and join the flight school on their own dashboard, but their profile exists in your school as soon as you add them.
Instructor Profile
Click View on any instructor's row to open their profile. Here you'll find:
- Email and phone number
- Hourly rate
- Outstanding and paid invoices
- Availability (set by the instructor in their own dashboard by selecting which days they're available for the month)
- Documents and certifications
- Onboarding status and aircraft checkouts
To set or update an instructor's hourly rate or profile picture, click Account Settings → Edit Profile from within their profile.

Students
The Students tab works similarly and gives you the same level of visibility into each student's profile and status.
Adding a Student
Click Add Student and enter their full name, email, and phone number. Their account is created immediately, so you can schedule them, send invoices, and manage their profile before they ever log in.
Students can join and access their dashboard when they are ready, but you no longer have to wait on an invitation link to start operating with their information on file.
Student Profile
Click View Profile on any student's row to open their full profile. From here you can see all of their account details, and under Account Settings → Edit Profile you have the ability to designate them as a Renter Pilot. Enabling Allow Student to Create Reservations gives that student the ability to add their own reservations to the schedule independently.
Each student profile also displays:
- Recent paid invoices and outstanding invoices
- Documents and certifications
- Onboarding status
- Aircraft checkouts
Aircraft Checkouts & Compliance
Aircraft checkouts are managed from Aircrafts → Manage Aircraft. From there you can view and add any requirements you want to enforce for a given aircraft. When setting up a requirement, you can specify whether it applies to students, instructors, or both.
Once a requirement is added, it will automatically appear in the relevant person's dashboard, prompting them to upload whatever is needed to satisfy that requirement.
How Compliance is Tracked
Compliance is surfaced in several places:
- Reservation Details - If a reservation is created and a required checkout or document is missing, the reservation will display an indicator flagging the gap.
- Checkout - When checking out a flight, you can see expired documents for people or aircraft on that reservation.
- Compliance - A dedicated compliance view lists instructors and their document status across your operation.
- AI Dispatching - The AI dispatcher also shows the current compliance status for all people involved in a flight.
It's worth noting that missing requirements do not block a reservation from being created. Instead, an exclamation mark will appear on the reservation to alert you that one or more people are not fully compliant with the aircraft's requirements. This keeps things moving while making sure nothing slips through unnoticed.
